This series consists of documents related to the regular operation of the Foundation. Included in this series are minutes and agendas of the Board of Directors and various committees that reported to the Board, incorporation records, bylaws and their amendments, financial statements, budgets, annual general meetings including annual reports, correspondence, and other documents pertaining to the larger operation of the Foundation. The documents in this series have been arranged to roughly correspond to their subject matter. For example, files related to the Princess Theatre’s operation are grouped together though there may be some documents with higher file numbers to reflect later accruals to the collection.

The series consists of records pertaining to the operation and administrative functions of the Edmonton Art Gallery. Included in the series are financial records, reports, correspondence, certificates, and promotional materials. Also included in the series are plans relating to the acquisition of land for new gallery, records related to the Edmonton Art Club, and architecture design drawings for the gallery.
The series also includes records from the Blow Condell family who donated money to build the Edmonton Art Gallery in 1962. The building was named the Arthur Blow Condell Memorial Building after Dr. William Newton and Abigail Edith Condell's son who died in 1910.

This series consists of records related to the City Clerk's Office. This series contains the following subseries:

1.1 Bylaws and Licenses
This subseries contains correspondence, drafts, final copy, and enforcement regulations relating to bylaws and licenses enacted in the city.

1.2 Elections and Census
This subseries contains correspondence, drafts, promotional materials, information circulars, and other materials relating to elections and census studies held in the city.

1.3 Shared Management Services
This subseries contains records which deal with the number of services which were provided to many or all of the City's departments. This includes printing services, advertising and promotions, communications, information technology (IT) services, the Civic Garage, the legal department, the stores and works department, and the coordination of civic special events (such as VIP visits, anniversary celebrations and commemorations of historic events).

1.4 Mayor / Council Inquiries & Correspondence
This subseries contains correspondence, to and from the Mayor, Commissioners, and Councilors relating to issues raised for council action, including complaints and inquiries.

1.5 Departmental Reports / Policies
This subseries contains reports prepared by City departments, and policies and procedures they proposed to be approved by the Councilors.

1.6 Personnel / City Employees
This subseries contains correspondence and procedures dealing with city employees, including negotiations with unions, contract staff, benefits, and attendance at conferences.

1.7 Advisory and Standing Committees
This subseries contains correspondence, reports, action requests, and other administrative materials relating to committees struck by and reporting to City Council.

Administration

This series consists of records related to the operational functions of the Garneau Community League. At the head of the community league was the executive committee which was elected by the registered members of the community league. The manager of the Garneau Community Centre reported to the executive committee along with the heads of the various sub-committees and clubs such as the Planning Committee and the Tennis and Lawn Bowling clubs. The executive committee was responsible for many of the initiatives undertaken by the League such as the Street Signs Project and organizing the programs that took place at the Centre. This series contains minutes, reports, correspondence, grant applications, contracts, newsletters, and programmes. These records provide context for the Community League’s role within the community and within Edmonton as a city. Also included are documents concerning leasing of the Garneau Community Centre to Catalyst Theatre.

Clippings files

In the 1940s, the Archives and Landmarks Committee, together with the Northern Alberta Pioneers and Old Timer’s Association, began keeping subject based clippings files. Another collection of clippings files was started by the Legislative Library, donated to the Provincial Archives of Alberta and then transferred to the Archives and Landmarks Committee. When it was formed in 1971, the City of Edmonton Archives took over the Committee’s textual collections, including the clippings files. The Archives continued to add to the clippings files until 2017.

Over the years, diverse arrays of materials ranging from original documents to publications were kept in these files. This type of cataloguing was common, however archival best practice has moved away from this method. Many archives no longer maintain clippings files and when they do, they generally contain only published materials.

Currently, there are three distinct types of material located within the City of Edmonton Archives Clippings Files:

  • Clippings: Materials removed, or clipped, from a larger piece, usually a newspaper or periodical.

  • Ephemera: Materials, usually printed documents, created for a specific, limited purpose, and generally designed to be discarded after use. Examples include advertisements, tickets, brochures, and receipts.

  • Discrete Item: An item, usually unique and original, that is not part of a larger body of material (e.g., a fonds or collection). Repositories sometimes acquire materials that do not form a part of a larger fonds, collection or series. Context of creation, accumulation and use may or may not be known and, even if they are known, no other materials of the same provenance may be held by the repository. At the City of Edmonton Archives some discrete items were once part of a larger body and were moved to a clippings file.

This series consists of over 26,000 clipping files. The series has been divided into the following subseries:

  • Subseries 1: Biography clippings files
  • Subseries 2: City clippings files
  • Subseries 3: General clippings files
